Asset Types

Asset Types define the kind of assets added to the portal. This predefined catalog serves as a generic classification for all assets being managed.

To view the Asset Types page, navigate to Admin > Asset Management > Asset Types.

Here, you can view default asset types, add custom ones, and create sub-asset types up to 5 levels deep.

Adding a Sub Asset Type

To add a sub-asset type, follow these steps:

  1. Click the Add icon next to the desired asset type. The Create Asset Type page will then appear.
  2. Enter the Asset Type name.
  3. Upload an asset type icon if required.
  4. Enter the Asset Prefix if required (maximum 10 characters).
  5. Enter the Unique Name Identifier.
  6. Provide a brief Description of the asset.

  1. Click Create. The details page will then appear as shown below.

Now, you can edit to design the Asset form for this specific Asset type, or add Sync Rules to create CIs upon discovery. It has the following tabs:

  • Asset Form: Enables you to design the form by adding new custom fields to the properties of the Asset type and the sub-asset type form itself.
  • Sync Rule: Enables you to create rules to synchronize assets with Configuration Items.

Asset Form

The Asset form allows you to view system fields and add custom fields to either the properties or the Asset type form.

For example, in the Hardware Properties tab, you can view its system fields and add custom fields, as shown below.

Additionally, you can add custom fields to the form for this specific Asset Type (LED Monitor), as shown below.

The added custom field will appear in the Custom Fields section of the Asset Type (LED Monitor) Properties tab, as shown below.

Sync Rule

Sync Rules in CMDB (Configuration Management Database) streamline asset creation and CI (Configuration Item) management by automating the link between them. These rules enable the system to automatically create an asset when a new CI is created, and vice versa, based on predefined conditions and criteria.

For instance, if a CI meets specific attributes or conditions (e.g., being classified as a certain type like hardware or software), Sync Rules can trigger the creation of a corresponding asset in the asset management system. This ensures your CMDB and asset repository remain in sync without manual intervention. Similarly, when an asset is added that meets certain criteria, a related CI can be created in the CMDB to maintain consistency across systems.

Key benefits of Sync Rules include:

  • Automation: Reduces manual tasks and human error by automating asset and CI creation and synchronization.
  • Consistency: Ensures that the asset inventory and CMDB are always aligned, preventing discrepancies.
  • Efficiency: Speeds up asset and CI management, making it easier to track and manage IT resources.
  • Scalability: Allows seamless scaling of asset and CI management processes as your organization grows, without additional administrative overhead.

By setting up these Sync Rules, organizations can maintain an accurate and up-to-date view of their IT infrastructure, improving operational efficiency and asset visibility.

To create a Sync Rule, follow these steps:

  1. Click the Create Sync Rule button. The page shown below will then appear.

  1. Enter the following details:

    • Name: Enter the name of the Sync Rule.
    • Description: Enter a brief description of the rule.
    • Enable CI Creation on Asset Creation: Enable this option to create a CI when an asset is created based on a specific condition. If enabled, select the condition and the CI type for CI creation. For example, if the Asset Type is Hardware, a CI of the Hardware type will be created.

    • Enable Asset to CI Field Mapping: Enable this option to map Asset custom fields with CI custom fields based on condition groups (maximum 5 groups). For example, if the Asset's Department is IT, the custom field "Asset Number" will be mapped to the "CI Number" custom field, as shown below.

  2. Once completed, click Create. The Sync Rule will then be created. If the rule is enabled, it will execute whenever a CI is created, automatically creating the asset. The created rule will appear on the list page as shown below.

Here, you can perform the following actions:

  1. Enabled: Enable or disable the rule.
  2. Reorder: Set the priority of the sync rule. The rule will execute based on this priority. The first rule will have the highest priority, and the rest will follow.
  3. Duplicate: Create a duplicate rule if required.
  4. Edit: Edit the rule if required.
  5. Delete: Delete the rule if required.

Once all configurations are complete, click Update to save the modifications.

Asset Custom Fields

This allows you to add custom fields to the default Asset form template at a global level, meaning the custom field will be available for all assets.

Here, you can customize the Asset form using the following options:

  1. Field Palette: Drag and drop fields from the palette to add them to the form.
  2. Reorder: Drag and drop fields to change their order in the form.
  3. Expand/Collapse: Expand and collapse fields to display one or two in a row. If collapsed, the field's width will be reduced by half. This option is available for both default and custom fields.
  4. Duplicate: Create duplicate custom fields.
  5. Edit: Edit fields to make them mandatory, display them on the Asset form, or change their characteristics.
  6. Remove: Delete custom fields.
caution

Deleting a custom field will remove it and its data from all related requests. Workflows, Scenarios, SLAs, and other components containing these custom fields might also be affected. Please review the impact before proceeding with the removal.

Asset Configurations

Here, you can configure the starting number and minimum required digits for the Asset ID of Hardware, Software, Non-IT, and Consumable Asset types.

The Asset ID is defined based on the configured Starting Number. You can also view the Current Asset Number to guide your definition.

For example, if 100 is set as the Starting Number and the minimum digit as 1, when a Hardware Asset is created, its ID will be AST-100.
